Job Description:

Meta is seeking a highly organized and detail-oriented Executive Assistant II to join our Global Administrative Specialist program team. In this remote, full-time role, you will provide administrative support to multiple executives across various Meta locations, with a focus on high-volume calendaring, travel coordination, and expense reporting. You'll be part of a dynamic team of Administrative Specialists who support internal clients across the company.

Key Responsibilities:
  • Provide remote, high-volume calendar management , travel arrangements, and expense reporting for multiple executives.
  • Manage complex schedules, including internal/external meetings and recurring or ad-hoc events across different time zones.
  • Schedule and coordinate domestic and international travel using Concur or similar tools.
  • Prepare and submit expense reports in compliance with Meta's policies.
  • Build strong, ongoing relationships with clients to understand and support their business priorities.
  • Collaborate with other Administrative Assistants and internal teams for seamless meeting coordination and information sharing.
  • Offer proactive recommendations for time management and workflow efficiency.
  • Provide backup and transitional support for colleagues as needed.
  • Educate clients on the goals, scope, and service level agreements of the Admin Specialist program.
  • Maintain service within program SLAs and escalate issues when necessary.
Minimum Qualifications:
  • 3+ years of high-volume administrative coordination experience.
  • 3+ years supporting 2 or more executives concurrently.
  • 3+ years managing complex calendars for multiple executives.
  • Proficiency in Microsoft Office, Google Suite , and Concur (or similar tools).
  • Strong multitasking, time management, and organizational skills.
  • Ability to exercise discretion and sound judgment with sensitive information.
  • Experience working in a fast-paced, remote environment.
