Job Description

We’re looking for a highly motivated Executive Assistant to be the right-hand to our CEO, ensuring seamless operations and supporting high-level initiatives. This role is more than just managing calendars and emails, you’ll play a critical part in driving efficiency, coordinating key projects, and ensuring that the CEO’s time is optimized for maximum impact. If you are detail-oriented, proactive, and love working behind the scenes to make big things happen, we want to hear from you! Responsibilities:

  • Be the primary point of contact for the CEO, acting as a gatekeeper and problem solver.
  • Manage executive calendars, including scheduling meetings, coordinating travel arrangements, and preparing itineraries.
  • Organize and maintain important documents, reports, and correspondence with exceptional attention to detail.
  • Prepare for and participate in meetings—recording notes, tracking action items, and ensuring follow-ups are completed.
  • Handle confidential information with discretion and professionalism.
  • Oversee office management tasks, including ordering supplies and maintaining efficient filing systems.
  • Assist with basic bookkeeping responsibilities.
  • Support special projects and perform personal assistant tasks as needed.
Qualifications:
  • 2+ years of experience in an executive support role or a similar administrative position.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Exceptional communication and interpersonal skills—professional, polished, and approachable.
  • Tech-savvy, with expert-level proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Trustworthy and discreet, with experience handling sensitive and confidential information.
  • Multilingual candidates are highly preferred.
  • A proactive, problem-solving mindset—you anticipate needs and find solutions before they become issues.
