Position Purpose
The Executive Assistant to the President will be responsible for all administrative tasks associated with the President’s office. Additionally, this position serves the University in a high capacity in the areas of University wide and Board of Regents communications, event execution and University operations. This position requires a high level of discretion and confidentiality.
Responsibilities include but are not limited to:
General Administrative duties to keep the Office of the President running smoothly:
- Includes: calendar administration, incoming and outgoing communications (phone and written), travel coordination.
- Communication with external constituents hosting President for events (gathering details, securing reimbursements, ppt, book sales, etc)
- Hosting external guests
- scheduling visits
- Coordination of specific hosting items, such as travel arrangements, meals and hotel accommodations
- Purchasing gifts for on campus guests
- Maintaining CLC Hosting environment (ordering supplies for coffee station, making greenroom hospitable)
- Strategic Plan (scheduling meetings, tracking progress, managing contract and contact with consultant)
- Presidential initiatives (coordinate President’s Community involvement, meetings with neighborhood stakeholders, maintaining relationships with constituents (calls, emails, texts)
- Communication with District Offices
- District Council scheduling
- District Reports
- District video reports
- Ongoing communication with superintendents
- Ongoing communication with DYD’s
- Managing President’s Budget
- Record Mgmt for President’s Meetings (agendas and minutes for SLT & PC)
- Commencement – support for BOR, assistance in executing commencement including travel details and connection with Commencement speaker
- Collaborate closely with the Advancement, Alumni, and Church Relations teams to coordinate meetings and events with donors, alumni and pastors.
- Assist the Dean of Multicultural Engagement and Spiritual Life with coordinating travel arrangements for chapel speakers, managing expense reports, and providing administrative support for chapel services as needed.
Events
- Plan and execute key Staff and Faculty events, including:
- Block Party
- Christmas Party
- Quarterly All-Staff and Faculty Meetings
- Participate in the planning of the annual Partners for Progress fundraising gala in partnership with the campus planning committee.
- Assist with the planning and implementation of Homecoming events.
University Communications
- Coordination of University wide communications both from the Office of the President and the Office of Communications to a wide variety of constituents: employees, students, Board of Regents, Alumni and Parents
- Field internal and external incoming emails, calls and web inquiries regarding community events of a high-level nature utilizing other CLC admin staff as needed.
- When needed, work with public relations firm and our individual contracted for communications to assure communications are crafted in a way that a full array of possible outcomes are considered.
- Work with Office of Development on Communications pieces in tandem with the President’s Office
Serve as point person on our communications contract. To include identifying content to be included in press releases for high profile situations.
Board of Regents
- Bi-weekly communication with Board Chair
- Scheduling meetings with BOR Executive Committee, Full Board, and Board Committees as needed.
- Creating and managing agendas
- Creation of Board Docket (2x year) – gathering content, graphic design, and print
- Coordination of travel, hotels, meals, and transportation for BOR in person meetings (travel guideline for guests)
- Written communication with BOR when events arise
Committees
- Staff Development Committee
- Co-chair of Commencement Committee
Job Qualifications
Minimum Education and experience
- 3-5 years of progressive administrative experience. Bachelor’s degree preferred.
- Pastoral credentials a plus.
- Pastoral and high level leadership experience would be very beneficial.
Knowledge, skills, and abilities
- Essential skills include strong attention to detail, planning, problem-solving, and organizational skills
- ability to communicate clearly both verbally and in writing at a very high and visible level
- ability to hand highly sensitive and confidential information in a professional manner;
- maintain composure in dealing with all university constituencies;
- advanced skills in technological resources including computer programs and applications (Word, Excel, Outlook, and PowerPoint are especially important);
- basic knowledge of budget management;
- independent and motivated individual.
- Strong attention to detail as well as planning and organizational skills.
- Ability to communicate and follow-up verbally and in writing to ensure shared understanding of information both internally and external public.
- Ability to problem solve, anticipate needs, and make appropriate independent decisions.
- Knowledge of Internet and on-line resources to conduct research and make travel arrangements.
- Knowledge of effective presentation methods to organize and present material.
Working conditions and frequency
Environmental Conditions
- Daily exposure to repetitive motions of the fingers, hands and wrists.
- Assist with event setup and teardown, which includes lifting, moving, and arranging equipment, materials, and furniture as needed.
- Perform tasks that may require standing for extended periods, carrying items up to 20lbs, and working in a variety of indoor and outdoor settings.
- Position is located in an urban, Christ-centered environment
Equipment and Tools
- Use of a PC, photocopier, fax machine, and telephone—approximately 70% of the time
