Department Description:
The Office of Financial Aid (OFA) is responsible for the awarding of Federal, State, and Institutional financial aid to Undergraduate and Graduate students at the University of San Diego. The OFA is also responsible for maintaining Federal, State, and Institutional compliance to ensure proper delivery of financial aid. This includes scholarships, grants, work-study, and loans. The OFA determines student eligibility using the Free Application for Federal Student Aid (FAFSA), the CA Dream Act Application, and the USD Dream Act Application. 76% of USD students receive some type of financial aid.

Detailed Description:

  • Coordinate VA/YR Scholarship Awards, Military Tuition Awards, ROTC Scholarships.
  • Advise students on financial aid matters for Military and Veteran Students.
  • Provide support for Undocumented students and Torero Renaissance Scholars.
  • Provide support for Satisfactory Academic Progress processing.
  • Perform need analysis and verification of financial aid applications.


Duties and Responsibilities:


Military & Veteran Financial Aid Processing:

  • Coordinate with supervisor to award and process all military and veteran awards for each term.
  • Review and revise Terms & Conditions for all military and veteran awards.
  • Support all ROTC and NROTC Prep awarding and student advising.
  • Train and serve as resource regarding VA/YR, ROTC, and all other military financial aid programs for Financial Aid and Torero Hub team members.
  • Coordinate and review Miliary appeals; working with supervisor post-review on conducting notifications, adjustment to awards, and related documentation.

Special Populations:

  • Advise undocumented/DACAmented students about how to apply for aid and eligibility.
  • Advise and award TRS students. Serve as a contact point for TRS students, including responding to financial aid questions.
  • Adjust financial aid awards for TRS students as needed and process any related documentation.
  • Coordinate Dream Act ISIRs. Input data into system and manually create financial aid offer. Follow up with student as needed.

Satisfactory Academic Program:

  • Assist with annual SAP process. Conduct review of data, run related reports, complete data entry, and notify students as appropriate.
  • Advise students about SAP throughout the academic year.

File Review/Evaluation:

  • Using guidelines, perform financial aid application review and need analysis under federal methodology and USD policies and procedures.
  • Check applications for completeness, resolve inconsistencies and data match discrepancies.
  • Using knowledge of guidelines and professional judgment, determine the need for additional follow-up information from applicants/parent and implement follow-up procedures.

Job Requirements:

Minimum Qualifications:

  • Bachelor's degree required. A high school diploma and two additional years of work experience may substitute for Bachelor's degree, at the rate of two years of experience is equivalent to one year of work experience.
  • One year of experience in an office or administrative role is required.


Preferred Qualifications:

  • Experience in a Financial Aid Office.
  • Knowledge and understanding of Title IV Financial Aid regulations and USD analysis policies.
  • Familiarity with the University of San Diego and its financial aid philosophy.
  • Knowledge of the Banner Financial Aid Application and Xtender scanning software.
  • Knowledge of USD financial aid programs.
  • Knowledge of federal tax laws and forms.


Performance Expectations - Knowledge, Skills and Abilities:

  • Demonstrated success working in a high volume, high production setting.
  • Effective oral and written communication skills.
  • Good interpersonal skills, discretion.
  • Working knowledge of Microsoft Word and Excel.
  • Ability to interact in a congenial, helpful manner with people from other departments in troubleshooting situations.
