Job Description

Health Information & Administrative Coordinator

Are you highly organized and detail-oriented with a passion for supporting both clinical documentation and administrative operations? Join our team as a Health Information & Administrative Coordinator and play a vital role in maintaining the accuracy of medical records while ensuring smooth daily operations in our facility.

Schedule: Days Monday-Friday

Key Responsibilities:

Health Information Management:

  1. Maintain accurate, up-to-date resident medical records, ensuring compliance with HIPAA regulations
  2. Monitor records for completion, accuracy, and timeliness
  3. File lab results, physician orders, and progress notes
  4. Respond to record requests from internal staff, external providers, and regulatory bodies
  5. Prepare documents and records for audits, surveys, and inspections

Administrative Coordination:

  1. Provide administrative support to nursing and department leadership
  2. Assist with organizing in-service education documentation and staff training records
  3. Maintain facility forms, filing systems, and confidential documentation
  4. Manage data entry tasks and maintain electronic tracking systems
  5. Assist in coordinating schedules, meetings, and internal communications
  6. Support onboarding documentation and assist with compliance checklists

Qualifications:

  1. High school diploma or GED required; Associate’s degree in Health Information Management or related field preferred
  2. Previous experience in a medical records or healthcare administrative role (Skilled Nursing Facility experience preferred)
  3. Familiarity with Electronic Health Records (EHR); PointClickCare experience strongly preferred
  4. Strong attention to detail, accuracy, and confidentiality
  5. Proficient in Microsoft Office Suite (Word, Excel, Outlook)
  6. Excellent communication and organizational skills
