We are seeking a highly skilled Personal & Executive Assistant (PA/EA) to provide essential support to two executives across different time zones. This unique position combines both in-person and remote responsibilities, requiring exceptional multitasking abilities, discretion, and adaptability.
In this role, you will split your time equally between supporting a Los Angeles-based CEO (in-person) and an East Coast-based Founder (remote). If you thrive in a fast-paced environment and enjoy wearing multiple hats, this could be the perfect opportunity for you!
Responsibilities
Personal Assistant to the CEO (Los Angeles-Based, In-Person)
Calendar & Scheduling: Manage personal appointments, travel arrangements, and household/vendor coordination.
Household Management: Order and maintain household supplies, coordinate repairs, and oversee general upkeep.
Errands & Logistics: Handle grocery shopping, mail/package tracking, check deposits, and gift purchases.
Meal Prep & Light Housekeeping: Assist with meal preparation, laundry, and tidying up (deep cleaning is handled separately).
Pet Care: Walk, feed, and transport a small dog to vet/grooming appointments.
Vehicle Maintenance: Schedule car washes, refueling, and routine maintenance.
Travel Assistance: Help with packing/unpacking and provide home coverage while the CEO is away.
Airport Transportation: Provide occasional drop-offs/pickups.
Household Documentation: Maintain a manual with key contacts, vendors, and procedures.
Executive Assistant to the Founder (Remote, East Coast-Based)
Administrative Support: Manage calendar, emails, and correspondence.
Document Preparation: Assist with reports, presentations, and research.
Travel & Event Coordination: Plan travel logistics and organize events.
Stakeholder Communication: Serve as the primary point of contact for external partners.
Project Management: Oversee special projects and operational support tasks.
What We're Looking For
Location: Must be based in Los Angeles, CA for in-person support while managing remote executive tasks.
Experience: 1-3 years in an administrative or executive support role; experience with C-suite executives or founders is a plus.
Skills:
Outstanding organizational and multitasking abilities.
Strong written and verbal communication skills.
High level of discretion and confidentiality.
Proficiency in Google Suite, Zoom, and task management software.
Problem-solving mindset with the ability to anticipate needs.
Ability to work across time zones and adapt to a fast-paced environment.
Preferred: Experience in education, nonprofit, safety, or mission-driven organizations.
Additional Requirements for the Personal Assistant Role:
Valid California driver's license and access to a reliable vehicle.
Comfortable managing household tasks and pet care responsibilities.
