Wedding & Event Sales Coordinator

Understanding the challenge of sales & managing event logistics is a must.

Our unique and beautiful venue spaces offer the perfect setting for any occasion. You will have the responsibility of understanding the various venue spaces that we offer, and a firm grasp of pricing structures. A solid understanding of the costs associated with our goods and services is a must. 

We are hopeful to find someone with 1-3 years of prior experience in hospitality. The wedding & event sales coordinator will have the opportunity to sell events taking place in the 5 historic Belvedere Ballrooms, the 13TH Floor Venue and the Owl Bar restaurant. Events include weddings, rehearsal dinners, holiday parties, galas, birthdays and other corporate & social affairs. 

We require flexibility in availability to include weekdays and weekends, both daytime and evening as scheduled.

SALES RESPONSIBILITIES:

  • Respond to all incoming inquiries, with multiple follow-ups for each lead both via email / phone
  • Schedule & host private venue tours
  • Understand the unique nature of the historic ballrooms, 13TH Floor & Owl Bar
  • Create custom wedding proposals suited to each client
  • Creatively sell the venue spaces by listening to clients and considering ways to create their vision
  • Manage booking process with prospective couples
  • Track lead & conversion statistics
  • Negotiate contracts and pricing
  • Meet sales goals, based on historic data and current trends

GUEST SERVICES

  • Ensure positive guest experience from booking through to the day of the event from initial tour and continued through in support of their planning process and on the day of the event as needed
  • Track guest experience through requesting reviews at the completion of their event, responding to reviews and thanking our clients for their patronage
  • Develop client and vendor relationships to support potential repeat business

OPERATIONAL RESPONSIBILITIES

  • Assist team to ensure guest satisfaction and overall success of each event
  • Understand day of event logistics to create a vision for clients in their initial tour and later assist clients in their planning process

Performs all other duties and responsibilities as required or requested.

SAFETY

  • Ensure compliance with operational standards, company policies, federal/state/local laws, and ordinances
  • Maintain professional image, including workplace cleanliness, proper uniforms, and employee grooming standards
  • Ensure that proper security procedures are in place to protect employees, guests and company assets
  • Ensure a safe working and guest environment to reduce the risk of injury and accidents. Completes accident reports promptly in the event that a guest or employee is injured

ACCOUNTABILITIES

  • Keep our lead coordinator promptly and fully informed of all issues (i.e. problems, unusual matters of significance, employee performance and positive events), take prompt corrective action where necessary or suggest alternative courses of action.
  • Complete job responsibilities and performance objectives in a timely and effective manner
  • Maintains a favorable working relationship with all company employees to foster and promote a cooperative working environment

PERSONAL REQUIREMENTS

  • Self-discipline, initiative, leadership ability and outgoing personality 
  • Pleasant, polite manner, neat and clean appearance
  • Highly detailed and organized to ensure processes are maintained and client communication is responded to in a timely manner
  • Ability to motivate the team to ensure that our services meet appropriate standards
  • Must be able to coordinate and handle the pressures associated with a wide range of activities to prioritize daily tasks
  • Solution driven - ability to recommend appropriate solutions to difficult guest situations to maintain client satisfaction
  • Excellent communication skills both written and verbal, comfort calling clients
  • Proficient with google documents
  • Comfortable negotiating with clients and discussing pricing and contract terms
  • Familiarity with analyzing sales reports/trends and firm understanding of cost of goods and services.

GENERAL REQUIREMENTS

  • Flexible availability to include weekends and evenings
  • Desire to increase knowledge of the hospitality industry with an emphasis on wedding related events, especially as it relates to sales and planning.
  • Cover letter strongly encouraged

TYPICAL WORK WEEK

Typical work week is Tuesday - Saturday with an in office need. This role would be best in an hourly capacity offering flexibility to weekly schedules. Starting pay is determined based on experience and generally ranges $22-$27 for this position.
