Job Description

Are you a highly organized, detail-oriented professional with a passion for supporting executives and teams? We are looking for an Administrative Assistant to join a fast-paced, dynamic environment where you will play a key role in managing administrative tasks and enabling leadership to focus on strategic responsibilities. This position is temp-to-perm and offers room for growth within a high-performing team.

Position Overview

The Administrative Assistant will provide essential support to executives and teams, ensuring smooth day-to-day operations. This role requires strong communication skills, professionalism, and the ability to manage multiple projects in a fast-paced, ever-changing environment. The position is based in New York and follows a hybrid schedule : in-office four days a week with remote work on Fridays .

Key Responsibilities

  • Administrative Support: Manage a variety of clerical, administrative, and business tasks, including phone calls, meetings, and travel coordination.
  • Calendar Management: Coordinate complex schedules, prioritizing events, meetings, and appointments to optimize executives’ time.
  • Meeting Coordination: Prepare agendas, secure meeting facilities, organize materials, and follow up on action items.
  • Travel Arrangements: Plan and book travel itineraries, including transportation, accommodations, and scheduling.
  • Expense Management: Process and reconcile expense reports in a timely and accurate manner.
  • Presentation Support: Assist with the creation of PowerPoint presentations and other ad hoc reporting.
  • Task Management: Monitor deadlines and incoming requests, taking necessary action and providing follow-up as delegated.
  • Team Collaboration: Provide support to a large team, interacting confidently with senior leadership and other stakeholders.

Skills & Experience Required

  • Undergraduate degree in Business, Office Management, or a related field preferred.
  • 2+ years of administrative experience, supporting executives and teams.
  • Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Word, and Excel).
  • Exceptional organizational and time management skills, with the ability to handle multiple priorities.
  • Strong interpersonal and communication skills, with a high level of professionalism and customer service.
  • Detail-oriented and able to work independently in a fast-paced environment.
  • A proactive, hands-on approach, with a willingness to take ownership of tasks and problem-solve effectively.

Compensation

  • Annual Base Salary: $70,000 - $80,000.
  • Compensation will vary based on experience and location, with additional opportunities for incentive-based compensation as part of the total package.
