Job Description

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our Leadership Team. This role is pivotal in efficiently managing responsibilities, allowing Leadership to focus on strategic initiatives. The ideal candidate is detail-oriented, resourceful, and capable of handling sensitive matters with the utmost discretion.

Key Responsibilities:

Executive & Administrative Support:

  • Manage and coordinate the calendar, ensuring seamless scheduling of meetings, travel, and appointments.

  • Serve as the primary point of contact, screening and prioritizing calls, emails, and requests.

  • Prepare reports, presentations, and correspondence on behalf of leadership.

  • Facilitate internal and external communications, fostering strong relationships with key stakeholders.

  • Coordinate logistics for conferences and events, including travel, accommodations, and materials.

  • Assist with processing payments, managing invoices, and coordinating financial obligations.

Operational & Logistical Support:

  • Retrieve, organize, and distribute mail and company-related documents as needed.

  • Ensure office and conference supplies are packed, organized, and delivered as required.

  • Visit the office periodically to manage inventory, equipment, and other operational tasks.

  • Arrange for necessary scheduling and coordination of various services as needed.

Qualifications & Skills:

  • Proven experience as an Executive Assistant or in a similar high-level support role.

  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and scheduling tools.

  • Exceptional organizational and time management skills with the ability to prioritize tasks effectively.

  • Excellent verbal and written communication skills.

  • Ability to work independently in a remote environment while handling in-person tasks as needed.

  • Discretion and professionalism in handling confidential and sensitive information.

  • A proactive problem-solver with a high level of attention to detail.

This is a remote-first position; however, regular visits to the office and occasional travel will be required.
